About the role
- This role is responsible for managing executive calendars, coordinating meetings and events, facilitating communication across international teams, and ensuring seamless day-to-day business operations.
Responsibilities
- Administer or support global and local distribution lists within Outlook.
- Manage Teams channels and email cascades for the dissemination of information.
- Create and maintain organizational charts for the business unit using PowerPoint.
- Support special projects as requested.
- Partner with other assistants to ensure efficiency and backup arrangements.
- Manage training schedules and logistics for responsible BU or sales team, acting as a proxy when necessary.
- Support the preparation of audits and if requested participate as well as follow up eventually action items
Requirements
- Participate in select meetings, record minutes and action items, and follow up as required.
Nice to have
- An Associate degree in a related field or advanced business courses is required.
- A Bachelor's degree in Business, International Affairs, or Communications is preferred.
- Minimum of 3-5 years of experience in an administrative role in a business environment.
- 5-10 years of experience in an administrative role supporting executive management in a global organization is strongly preferred.
- Demonstrated ability to be proactive and self-directed.
- Advanced skills with diverse software packages, including MS Office Suite (Microsoft Word, Excel, PowerPoint, Teams, and Outlook).
- Excellent understanding of general office practices.
- Excellence verbal and written communication skills, along with strong time management, priority setting and execution skills.
