About the role

  • Executive Assistant Location: Playa Vista, California (in-person, five days per week) Outpost is pioneering Earth return logistics for space.
  • Our spacecraft is already backed by the U.S. government with multiple missions ahead.
  • This is a key role that ensures their days run efficiently, that they stay focused on top priorities, and that the details-both big and small-are handled with care and precision.

Responsibilities

  • Support the President with:
  • Support reception-related duties including greeting guests, coordinating visitor logistics, and ensuring a professional front-of-house experience
  • Professional presence and emotional intelligence-able to interact well with high-level partners and internal teams

Requirements

  • Proven experience supporting senior executives or founders
  • You must be a U.S. citizen or lawful permanent resident of the U.S., a protected individual as defined by 22 C.F.R. § 120.15, or eligible to obtain authorization from the U.S. Department of State.
  • Excellent written and verbal communication
  • Highly organized with strong problem-solving skills
  • Calm under pressure and comfortable managing competing priorities

Skills

  • Full ownership of scheduling and calendars-coordinating internal and external meetings with attention to detail and context
  • Supporting inbox management with a goal of inbox zero
  • Editing and drafting external emails, notes, and memos
  • Escorting executives to calls/meetings and ensuring they stay on schedule-adjusting plans in real time when needed
  • Tracking follow-ups, priorities, and action items
  • Leading logistics for key meetings and events-drafting agendas, confirming attendees, reserving space, coordinating with Ops and IT
  • Preparing digital briefing books (bios, logistics, talking points)
  • Conducting research and preparing background materials
  • Proofreading presentations and documents for accuracy and polish
  • Booking travel, including flights, lodging, ground transport, and itineraries
  • Submitting and tracking expense reports
  • Being available outside standard office hours for urgent or time-sensitive needs

Compensation

  • $85,000-$125,000 annual salary.
  • Salary may vary based on experience.
