About the role

- The primary duties and responsibilities include, but are not limited to:
- Arrange domestic and international travel, prepare itineraries, and process expense reports.
Responsibilities
- Provide administrative support to multiple colleagues across the Institutional Business, including portfolio managers, research analysts, and other investment professionals.
- Schedule and coordinate meetings, maintain calendars, manage meeting logistics, and assist with preparation of agendas, materials, notes, and follow-up items as needed.
- Prepare, edit, format, and distribute presentations, reports, meeting materials, and other business documents, ensuring accuracy and professionalism.
- Support recurring team processes, reporting packages, and distribution of materials using established systems, templates, and procedures.
- Coordinate internal and external meetings, including scheduling, technology support, food service, guest arrivals, and workspace arrangements.
- Maintain team schedules, contact information, trackers, and other shared resources to support effective team coordination and communication.
- Support vendor management activities, including maintaining records, coordinating renewals, facilitating approvals, managing access requests, and assisting with vendor communications and training events.
- Coordinate with internal teams, vendors, and external partners to support meetings, training sessions, licensing requests, and other business activities.
- Collaborate closely with Executive Assistants, administrative professionals, and team members to ensure seamless support and effective coordination across the business.
Requirements
- Strong Microsoft Office skills, including Outlook, Word, Excel, PowerPoint, and Teams, with the ability to quickly learn new systems and technologies.
- Demonstrated ability to work effectively in a fast-paced, collaborative, and deadline-oriented environment.
- 2-5 years of administrative support experience preferred.
- Bachelor's degree preferred or an equivalent combination of education and relevant experience.
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities with accuracy and professionalism.
- Strong written and oral communication skills.
- Professional demeanor and strong service orientation.
- Demonstrated curiosity, adaptability, and openness to learning new technologies and ways of working, including AI-enabled productivity tools.
- Demonstrated ability to build strong working relationships across teams and with internal and external stakeholders.
- Tact, discretion, and sound judgment in handling sensitive and confidential information.

- Salary: $65-80k. Commensurate with experience and location. Does not include bonus or long term incentive eligibility (if applicable).
