About the role
- The Facilities Coordinator I provides coordination and administrative support for the Verona GMP manufacturing site, assisting the Facilities team in maintaining safe, reliable, and compliant facility operations.
- This role supports preventive maintenance activities, vendor coordination, work order management, documentation, and small facility improvement projects.
- Working under the guidance of the Facilities Manager and senior facilities staff, the Facilities Coordinator I helps ensure facilities operations are organized, efficient, and audit-ready while developing knowledge of facilities systems, regulatory requirements, and project coordination.
Responsibilities
- Provide coordination and administrative support to the Facilities Manager and Facilities team.
- Maintain accurate maintenance records, equipment documentation, and department files.
- Support purchase order creation, invoice processing, and expense tracking.
- Perform routine facility walkthroughs and report maintenance issues requiring attention.
- Support physical security administration, including badge requests and access documentation.
- Maintain departmental documentation, shared files, SOPs, and records to support compliance.
- Perform other duties as assigned.
Requirements
- 1-3 years of experience in facilities coordination, office administration, operations support, or a related field.
- Strong organizational skills with the ability to prioritize multiple assignments.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Customer-service mindset with the ability to work effectively across departments.
- Ability to learn facilities management software and CMMS applications.
- Experience in a GMP, pharmaceutical, biotech, or manufacturing environment.
- Experience using a Computerized Maintenance Management System (CMMS).
- Familiarity with FDA/cGMP documentation practices.
- Candidates must have current, valid authorization to work in the country where this role is located.
