About the role

  • The Facilities Coordinator I provides coordination and administrative support for the Verona GMP manufacturing site, assisting the Facilities team in maintaining safe, reliable, and compliant facility operations.
  • This role supports preventive maintenance activities, vendor coordination, work order management, documentation, and small facility improvement projects.
  • Working under the guidance of the Facilities Manager and senior facilities staff, the Facilities Coordinator I helps ensure facilities operations are organized, efficient, and audit-ready while developing knowledge of facilities systems, regulatory requirements, and project coordination.

Responsibilities

  • Provide coordination and administrative support to the Facilities Manager and Facilities team.
  • Maintain accurate maintenance records, equipment documentation, and department files.
  • Support purchase order creation, invoice processing, and expense tracking.
  • Perform routine facility walkthroughs and report maintenance issues requiring attention.
  • Support physical security administration, including badge requests and access documentation.
  • Maintain departmental documentation, shared files, SOPs, and records to support compliance.
  • Perform other duties as assigned.

Requirements

  • 1-3 years of experience in facilities coordination, office administration, operations support, or a related field.
  • Strong organizational skills with the ability to prioritize multiple assignments.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Customer-service mindset with the ability to work effectively across departments.
  • Ability to learn facilities management software and CMMS applications.
  • Experience in a GMP, pharmaceutical, biotech, or manufacturing environment.
  • Experience using a Computerized Maintenance Management System (CMMS).
  • Familiarity with FDA/cGMP documentation practices.
  • Candidates must have current, valid authorization to work in the country where this role is located.
