Responsibilities
- Leadership Team Support
- Provide high-level administrative support across the ICR Leadership Team (ICRLT)
- Manage complex, multi-leader calendars
- Maintain office equipment and supplies; oversee updates to business cards and stationery
- Process and track vendor invoices; support department budget tracking in partnership with Finance and Procurement
- Manage jet tracking and related documentation for Finance and Tax/Audit requirements
- Maintain shared drives and document repositories to ensure materials are current, organized, and accessible
- Strategic & Project Support
- Conduct research, prepare briefing documents, and summarize insights to support ICR strategic initiatives
- Support preparation of leadership presentations and business review materials
Requirements
- 5+ Years of Experience as an Executive Assistant
- Excellent communication and interpersonal skills, with the ability to draft professional materials and handle confidential information with discretion
- Proven ability to plan and execute meetings, events, and projects, including preparing materials and tracking follow-through
- Solid operational capability, including experience with travel coordination, expense reporting, vendor management, and budget or invoice tracking
- Strategic and proactive mindset, with the ability to anticipate needs, solve problems, and align work to leadership priorities
- Advanced proficiency in Microsoft Office (PowerPoint, Excel, Outlook) and collaboration tools (e.g., Teams, SharePoint, Concur)
- Highly adaptable and self-directed, with the ability to navigate change and continuously improve processes and team effectiveness
- The ideal candidate is highly organized, detail-oriented, and proactive, with strong technical proficiency, exceptional communication skills, and a high degree of discretion.
