About the role

  • The ideal candidate is calm under pressure, highly organized, exercises sound judgment, and consistently anticipates needs before they arise.
  • Coordinate domestic and international travel arrangements, itineraries, accommodations, transportation, and related logistics.
  • Prepare agendas, briefing materials, presentations, and background information for executive meetings and engagements.

Responsibilities

  • Executive Support & Calendar Management
  • Manage complex and constantly evolving calendars across multiple global time zones, including scheduling internal and external meetings, leadership reviews, customer engagements, and strategic business discussions.
  • Serve as a trusted advisor and strategic partner to executive leadership by anticipating challenges, identifying solutions, and facilitating decision-making.
  • Lead and support special projects, executive initiatives, and cross-functional programs by establishing objectives, tracking milestones, monitoring progress, and driving execution.
  • Support organizational operating rhythms, including leadership meetings, business reviews, team checkpoints, offsites, and all-hands meetings.
  • Manage executive relationships and external contacts, proactively understanding stakeholder priorities and maintaining effective communication channels.
  • Collaborate closely with executive assistants, business partners, and the Office of the CEO to ensure seamless coordination across teams and priorities.
  • Employee Networks, geographic neighborhood groups, and volunteer opportunities to build connections

Requirements

  • 7-10+ years of experience supporting senior executives, Vice Presidents, C-level leaders, or Executive Leadership Team members in a fast-paced, high-growth, or highly matrixed environment.
  • Proven ability to handle highly sensitive and confidential information with discretion.
  • Self-starter with the ability to work independently while collaborating effectively across teams.
  • Ability to remain calm, adaptable, and highly effective under pressure.

Nice to have

  • Experience supporting Executive Leadership Team members, C-level executives, or senior leaders in technology, cybersecurity, product, engineering, operations, or innovation-focused organizations.
  • Experience leading executive projects, business operations initiatives, or cross-functional programs.
  • Expertise with Google Workspace, Microsoft Office Suite, Slack, Workday, expense management, travel, presentation, and collaboration tools.
  • Experience planning and executing executive meetings, leadership offsites, and large-scale events.
  • Familiarity with AI, generative AI, and productivity technologies that improve executive efficiency.
