About the role

  • This is a high-impact, high-touch administrative role supporting SVP and VP level leaders within the Cyber Security Office in a fast-paced, global environment.
  • You will also have the opportunity to improve ways of working, strengthen administrative processes, and coordinate small projects that increase the effectiveness of the leadership team.
  • The US salary ranges take into account a number of factors including work location within the US market, the candidate's skills, experience, education level and the market rate for the role.

Responsibilities

  • Own complex calendar management and meeting scheduling across geographies and time zones, ensuring senior leader commitments are prioritized and coordinated effectively.
  • Proactively manage a high-volume workload by setting priorities, tracking deadlines, triaging requests, and delivering accurately under time pressure.
  • Manage end-to-end senior leader expense reporting, ensuring timely, accurate, and policy-compliant submissions.

Requirements

  • 5+ years of administrative assistant experience, including proven experience supporting C-suite, or equivalent senior executive leaders within a large, complex, global organization across multiple time zones.
  • Proficiency with Microsoft productivity tools, including Outlook, Word, Excel, PowerPoint, OneNote, and Teams, with the ability to quickly learn and adopt new systems and ways of working.
  • Proven ability to apply initiative, foresight, and practical problem-solving in high-pressure situations, including identifying risks, resolving issues, and keeping work moving forward.
  • High degree of accountability, integrity, and discretion when handling confidential information, sensitive matters, and senior leader priorities.
  • Organizational and cultural awareness, with the ability to operate effectively in a matrixed, global environment and adapt communication style as needed.
  • Prepare agendas, coordinate meeting materials, capture minutes when required, and communicate actions clearly.

  • Experience coordinating complex meetings, leadership forums, events, or executive briefings with internal and external participants.
  • Ability to identify opportunities to improve administrative processes, simplify ways of working, and increase team efficiency.

  • The US annual base salary for new hires in this position ranges from $59,700 to $99,500.
