About the role
- Assign new job numbers for awarded projects.
- Enter new projects into the company's fleet/dispatching system for future scheduling.
Responsibilities
- Review contracts, purchase orders, scopes of work, exhibits, insurance requirements, and related project documents.
- Provide comments on contracts or project documents when revisions or clarifications are needed.
- Maintain organized records for each project and ensure all project setup information is accurate.
Requirements
- Strong attention to detail and ability to follow procedures.
- Ability to work independently and coordinate with multiple departments.
- Coordinate with clients to obtain required documents, including additional insured certificates and other insurance-related items.
- Confirm that all required onboarding information is complete before the project is released to scheduling/operations.
- Strong organizational and communication skills.
- Ability to manage multiple projects and deadlines at once.
- Comfortable reviewing contracts, purchase orders, scopes of work, and project requirements.
- Proficient with email, PDFs, spreadsheets, and general office/project management software.
- Ideal Candidate
- The right person for this role will be proactive, detail-driven, organized, a multi-tasker, and comfortable taking ownership of the project onboarding process from the moment a job is awarded until it is fully set up and ready for scheduling. This person should be able to communicate professionally with clients, identify missing information, flag contract concerns, and keep internal teams organized.
Nice to have
- Prior experience in construction, surveying, engineering, project coordination, or administrative project setup preferred.
- Experience with Autodesk Construction Cloud is a plus.
- Experience with insurance certificates, additional insured requirements, or contract administration is a plus.
Skills
- Set up new projects in Autodesk Construction Cloud.
Compensation
- Compensation will be based on experience.
