About the role

  • As a key liaison to internal and external stakeholders, you will serve as an extension of leadership and play a pivotal role in ensuring priorities are executed flawlessly.
  • This position requires the candidate to be onsite at our Eden Prairie offices with occasional flexibility to work from home.

Responsibilities

  • Executive Support & Calendar Management:
  • Provide comprehensive administrative support, including managing complex calendars, coordinating meetings, preparing agendas, and optimizing executive time. Proactively anticipate needs, resolve scheduling conflicts, and ensure seamless daily operations.
  • Serve as a trusted liaison between senior leaders and internal/external stakeholders. Manage and triage executive communications, including prioritizing key actions, and ensuring timely follow-up. Represent leadership with professionalism and sound judgment.
  • Presentations & Document Management:
  • Develop and refine presentations and materials for board, leadership, customer, and departmental meetings. Maintain organized, accessible document and record-keeping systems, continuously improving processes for efficiency and usability.
  • Support cross-functional projects and leadership initiatives by tracking timelines, coordinating stakeholders, and ensuring deliverables are met with high quality. Maintain visibility to key priorities, deadlines, and follow-ups using collaboration tools.
  • Manage executive expenses and reporting, including preparation, review, and submission of expense reports. Ensure accuracy and compliance with company policies.
  • Handle sensitive information with the highest level of discretion and integrity. Actively contribute to the administrative team, providing back-up support and fostering a collaborative, high-performing environment.

Requirements

  • Minimum 4 years' progressive executive administration experience as an executive assistant supporting Vice Presidents, Presidents or Chief levels
  • Critical to your success is your ability to thrive in a fast-paced, high-visibility environment, demonstrating exceptional judgment and discretion, and bringing a strong sense of ownership to everything you do.

Nice to have

  • Bachelor's degree and advanced proficiency in Microsoft Office (Outlook, PowerPoint, Teams, SharePoint)
  • Highly organized with strong attention to detail
  • Proactive, solutions-oriented mindset with a strong sense of urgency and ability to adapt to changing needs
