Responsibilities

  • Support the Director of Special Events in the planning and execution of editorial and commercial events, including private dinners, cocktail parties, panels, screenings, and subscriber experiences.
  • Maintain project timelines, run-of-shows, guest lists, and seating documents.
  • Coordinate with vendors, venues, and external partners to ensure event deliverables are completed accurately and on schedule.
  • Support invitation management, RSVP tracking, credentialing, and guest experience initiatives.
  • Prepare presentations, briefing materials, and event documents for internal and external stakeholders.
  • Manage meeting scheduling and calendar coordination for the Special Events team, including internal planning meetings, vendor calls, site visits, and stakeholder check-ins; maintain accurate calendars and ensure key project milestones and deadlines are reflected across teams.
  • Provide on-site event support, including setup, guest management, talent handling, and breakdown.
  • Support the Special Events team on additional marketing, editorial, and client entertainment initiatives as needed.
  • Ability to manage multiple priorities and adapt quickly in a fast-paced environment.
  • Some experience coordinating vendors and external partners.

Requirements

  • Bachelor's degree and 1-2 years of experience in events, hospitality, experiential marketing, public relations, or a related field.
  • Proficiency in Google Workspace, Microsoft Excel, PowerPoint, and event management platforms such as LaunchMetrics and zkipster.

Compensation

  • The expected base salary range for this position is from $66,400 - $75,000.
