About the role
- The ideal candidate is highly organized, detail-oriented, and thrives in fast-paced environments that require collaboration between project managers, engineers, field personnel, contractors, and agency representatives.
- This position will be based at the Program Management Office in Newark, New Jersey, with an in-office schedule of Monday through Wednesday.
Responsibilities
- Maintain project records, logs, and documentation to ensure accuracy, organization, and accessibility.
- Manage project submittals, requests for information (RFIs), and change orders while ensuring timely responses and proper tracking.
- Review design drawings, specifications, and technical documents to identify discrepancies, conflicts, and potential issues.
- Support quality control processes, track non-conformances, and assist in resolving construction-related questions.
- Collaborate with field teams to ensure office activities align with project milestones and field operations.
- Support coordination meetings and maintain accurate meeting minutes and action items.
- Maintain organized project files in accordance with project procedures and agency requirements.
- We deliver impactful water/wastewater, transportation, and public works projects for clients including NYCDDC, NYCDEP, and the Port Authority of NY & NJ.

Requirements
- Bachelor's degree in Civil Engineering, Construction Management, or a related field.
- Minimum 5 years of experience supporting transportation, rail, tunnel, heavy civil, or infrastructure projects.
- Experience working in engineering, construction management, or project office environments.
- Strong understanding of construction documentation, project controls, and construction administration processes.
- Experience managing RFIs, submittals, change orders, and project reporting.
- Proficiency in Microsoft Office Suite and project management software.
- Prior experience supporting large public transportation agencies is required.
- Ability to read and interpret construction drawings, specifications, and technical documents.
- Exceptional organizational skills with strong attention to detail and the ability to manage multiple priorities simultaneously.
- Strong communication, collaboration, and problem-solving skills.
- Strong preference will be given to candidates with experience supporting Amtrak, NJ Transit, MTA, PANYNJ, or comparable transportation organizations.
