About the role
- As a Fund Operations Associate, you will sit at the center of Allocate's fund operational and treasury infrastructure, supporting the end-to-end lifecycle of 150+ funds across the platform.
- You are accountable for accuracy, timeliness, and the operational health of the funds on the platform.
- This is a hands-on execution role - and one where extreme client service is non-negotiable.
Responsibilities
- Perform bank account reconciliations and track fund cash flows across active funds.
- Manage the line of credit lifecycle across funds - including opening new facilities, maintaining documentation, requesting advances ahead of capital call deadlines, processing repayments, and reconciling outstanding balances.
- Serve as a trusted operational partner to wealth advisors and investors - responding with urgency, communicating proactively, and following through on every request.
- Partner with Client Services to resolve investor-level inquiries tied to fund operations, taking ownership of issues end-to-end rather than passing them along.
- Identify operational friction points before they become client-facing problems, and build the fixes rather than waiting to be asked.
- Document and maintain operational procedures for core fund workflows, building repeatable systems as volume and complexity grow.
- Work with fund administrators, banking partners, and other service providers to ensure smooth execution across the fund lifecycle.
- Lead the operational organization that powers fund delivery, with full accountability for execution outcomes across 150+ funds on the platform.

Requirements
- 5 years of experience in fund operations, fund administration, or a related role within alternative asset management, private equity, hedge funds, or a fund administrator.
- Working knowledge of private fund structures, capital call mechanics, distribution waterfalls, and investor reporting workflows.
- Track record of extreme client service.
- In-office required.
- 3 - 5 years of experience in fund operations, fund administration, or a related role within alternative asset management, private equity, hedge funds, or a fund administrator.
- Highly organized with the ability to manage multiple deadlines across a portfolio of funds without dropping details.
- Relentless problem solver who treats obstacles as puzzles, not blockers. You don't escalate without first exhausting your own options, and you follow every issue through to resolution.
- Track record of extreme client service. You treat every advisor, investor, and internal stakeholder interaction as an opportunity to build trust, and your follow-through is a point of pride.
- Strong reconciliation skills. You're comfortable working with large data sets, identifying breaks, and resolving them with precision.
- Strong written and verbal communication skills. You coordinate clearly with internal teams, fund administrators, custodians, and investors under time pressure.
- Systematic thinker who naturally documents processes, builds repeatable workflows, and looks for ways to create structure as volume and complexity increase.
- Growth-oriented and energized by a scaling environment. You want to grow with the firm and take on more ownership as the fund count and team expand.
- Active and curious AI practitioner. You are already thinking about how AI can eliminate repetitive work, surface insights faster, improve work flows, and want to implement this at work.

Compensation
- Actual salary will be determined based on the candidate's experience, location, skills, training, certifications, and education, other relevant qualifications specific to the role, and internal equity and market data.
- Total compensation may include equity and discretionary performance-based bonuses based on individual, team, and company performance factors.
- $110,000 - $125,000 base salary, plus performance-based bonus, stock options, and comprehensive benefits.
