Responsibilities
- Manage the front desk and lobby area, welcoming and assisting employees, visitors, candidates, vendors, and board members
- Maintain a professional, organized reception area and ensure a positive first impression
- Support daily office operations, including receipt, sorting, and distribution of mail and packages (USPS, FedEx, UPS, courier services)
- Manage general correspondence and shared inboxes; scan, copy, file, and distribute documents as needed
- Provide general clerical and administrative support and assist with special projects as assigned
- Coordinate with building management, facilities teams, and external vendors (maintenance, cleaning, food and beverage)
- Support overall office cleanliness, maintenance, and day‑to‑day operational readiness
- Assist with evacuation protocols and emergency drills in coordination with building management
- Maintain conference room calendars and prepare rooms for meetings, including catering coordination and guest clearance
- Provide logistical support for internal meetings, external visitors, and company‑wide events in partnership with cross‑functional teams
Requirements
- Minimum of 2 years of experience in a receptionist, administrative, or similar customer‑facing role
- Strong proficiency with Microsoft Office (Word, Excel, PowerPoint)
- Ability to interact professionally with executive‑level stakeholders and colleagues
- Ability to adapt to changing priorities and work independently to prioritize tasks
- Use of a personal vehicle required to support inter‑office travel and operational needs
Nice to have
- Undergraduate degree preferred or equivalent relevant experience
- High School Diploma or equivalent required
- Experience in a biotech, life sciences, or fast‑paced corporate environment preferred
Compensation
- $65,000 - $80,000 USD
