Responsibilities

  • The Facilities Coordinator will work closely with the Director of Real Estate and Director of Facilities to support all facilities activities.
  • Support the team with external contacts as needed
  • Assist in coordinating all facilities activities, work direction and support systems
  • Maintain and update team policies and processes as determined by Director of Real Estate
  • Set up, maintain and organize department's central hard and soft files, information, filing and messages
  • Maintain requests for proposals, bid information, and other contract documents
  • Provide administrative support to the Facilities Team
  • Manage ZenDesk system, including receiving work request, assigning work orders, entering system data, and providing the overall system administration

Requirements

  • Knowledge of Google applications (Gmail, Google Calendar, Google Docs, etc.)
  • Experience with computerized maintenance management systems
  • Ability to use critical thinking and problem-solving skills
  • Must have strong interpersonal skills and ability to work in a team environment

Nice to have

  • Assist the Real Estate and Facilities Teams in all aspects of project implementation as needed
  • Assist facilities staff in locating parts, supplies, and materials
  • Process invoices via online system Anybill
  • Associate's degree and 2 years of facilities experience or 4 years of facilities experience required
  • Spanish fluency preferred
