About the role

  • Our Facilities Management and Corporate Services team is evolving, and we are seeking a collaborative, people-focused, and results-driven Office Administrator in our new Calgary office to manage all daily office tasks.
  • Reporting to the Director, Facilities Management and Corporate Services, the Office Administrator role supports day-to-day office operations, workplace services, security access administration, and facilities coordination for our Calgary office. This position ensures employees, visitors, vendors, and internal departments have access to the office services, supplies, equipment, meeting spaces, and workplace supports required for business operations. The Office Administrator role coordinates with internal employees, Edmonton-based departments, building management, service vendors, and other support teams to maintain a safe, organized, functional, and service-oriented workplace environment.
  • Reporting to the Director, Facilities Management and Corporate Services, the Office Administrator role supports day-to-day office operations, workplace services, security access administration, and facilities coordination for our Calgary office.

Responsibilities

  • Administer employee security access cards, office floor and building access, and visitor sign in procedures.
  • Manage secure document disposal bins, schedule and oversee pickups and support related records handling requirements in accordance with our records management policy.
  • Assist with uploading, organizing, and maintaining electronic documents within a centralized document management system, ensuring accuracy, and compliance with records management standards.
  • Ability to manage competing priorities and work in a fast-paced environment with attention to detail.
  • Ability to maintain a high level of professionalism, discretion, and confidentiality.

Requirements

  • Manage courier, mail and outgoing deliveries, maintain office and kitchen supplies and other tasks as required.
  • Exceptional time management and organizational skills with a high degree of accuracy.
  • Demonstrated ability in dealing with confidential information is required.
  • A criminal record check satisfactory to Alberta Blue Cross will be required as a condition of employment, following a conditional offer.
  • This position ensures employees, visitors, vendors, and internal departments have access to the office services, supplies, equipment, meeting spaces, and workplace supports required for business operations.
  • The successful candidate will be required to commute daily and work on site in our Calgary office located at 215 2nd St SW, Calgary.
