Responsibilities

  • Lead the development, implementation, and continuous improvement of marketing operations processes, systems, and workflows to increase efficiency, scalability, and operational excellence.
  • Develop and manage comprehensive project plans, timelines, resource allocation, budgets, and risk mitigation strategies to ensure successful project execution.
  • Establish and champion project management standards, governance, methodologies, and best practices to drive consistency, transparency, and accountability across the marketing organization.
  • Serve as the primary liaison between Marketing, Product Management, Sales, Clinical, Regulatory, Legal, Quality, IT, and external agency partners, ensuring clear communication and alignment throughout the project lifecycle.
  • Partner with Regulatory, Legal, and Quality teams to ensure all marketing materials and activities comply with applicable FDA, MDR, and corporate policies and procedures.
  • Drive project execution by proactively identifying risks, resolving issues, managing dependencies, and ensuring initiatives are delivered on time, within scope, and within budget.
  • Lead, coach, and develop the Marketing Operations team, fostering a culture of collaboration, accountability, continuous improvement, and high performance.
  • Develop resource and capacity plans to effectively prioritize work, balance workloads, and align team efforts with strategic business priorities.
  • Manage relationships with external agencies, vendors, and business partners, including scope management, performance evaluation, and budget oversight.
  • Identify opportunities to streamline processes, improve collaboration and implement operational efficiencies that enhance marketing effectiveness.

Requirements

  • Bachelor's degree in Marketing, Business Administration, Communications, Journalism, or a related field required
  • Minimum of 3 years of experience leading, developing, and coaching high-performing teams in a fast-paced, cross-functional environment.
  • Strong project management expertise, including resource planning, prioritization, risk management, budgeting, and stakeholder communication.
  • Excellent written, verbal, and presentation communication skills, with the ability to communicate effectively at all levels of the organization.
  • Proficiency in Microsoft Office Suite, including PowerPoint, Excel, Teams, and project management software such as Workfront, Monday.com, Smartsheet, Asana, or similar platforms.
  • Ability to travel up to 20%
  • Minimum of 8 years of progressive experience in marketing operations, project management, marketing communications, or commercial operations, preferably within the medical device, healthcare, life sciences, or another highly regulated industry.
  • Demonstrated success leading complex, cross-functional marketing initiatives from planning through execution, ensuring projects are delivered on time, within scope, and within budget.
  • Proven ability to build collaborative relationships and influence cross-functional partners, including Marketing, Product Management, Sales, Clinical Affairs, Regulatory, Quality, Legal, IT, and external vendors.
  • Experience developing and improving operational processes, project governance, and workflow efficiencies that support scalable marketing execution.
  • Working knowledge of FDA, MDR, and other regulatory requirements governing marketing communications within the medical device or healthcare industry.
  • Strong analytical, organizational, and problem-solving skills with the ability to manage multiple priorities in a dynamic environment.
  • Demonstrated ability to lead through ambiguity, drive organizational alignment, and foster accountability across cross-functional teams.

Nice to have

  • Experience managing marketing technologies, project management platforms, and digital asset management systems is preferred.
