About the role
- This position serves as a primary point of contact and liaison for internal and external stakeholders
- and coordinates a wide range of academic, operational, and event‑related activities.
- The role requires strong judgment, discretion, and independent decision‑making in resolving routine and complex inquiries
Responsibilities
- Executive & Administrative Support

- Maintain discretion and confidentiality with respect to sensitive personnel, academic, research, and financial matters.
- Maintain electronic and paper filing systems, contact lists, and records to support efficient operations of the Chair's office.
- Collaborate with OFPRO, Academic Affairs and HR to support faculty, postdoctoral and research staff recruitment and onboarding process.
Requirements
- include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).
- ability to interact effectively with faculty, staff, students, postdocs, and external stakeholders from diverse backgrounds.
Nice to have
- Demonstrated experience with calendar management, event planning, travel coordination, financial processing, and confidential executive support.
Skills
- Proficiency in Microsoft Office Word, Excel, PowerPoint.
- Proficient utilizing Zoom, Microsoft Teams, or other digital platform for meetings and events.
- Ability to handle public and internal contacts with courtesy, clarity, diplomacy, and sound judgment.
- Proven ability to handle sensitive and confidential situations and information with absolute discretion.
- Strong problem‑solving skills; ability to use appropriate resources and follow issues through to resolution.
- Demonstrated ability to take initiative, organize and prioritize work, and complete projects with minimal supervision.
Compensation
- $60,000.00 - $90,000.00 The included pay rate or range represents the University's good faith estimate of the possible compensation offer for this role at the time of posting.
